AI Automation Best Practices for Growing Restaurant Brands

As restaurant brands grow, the processes that work for a handful of locations can become difficult to manage across dozens or hundreds of restaurants.

A team may be able to handle phone calls, reservations, guest questions, and other repetitive tasks manually at a smaller scale. As the number of locations increases, however, those same tasks can create operational bottlenecks. Teams have more calls to answer, more systems to manage, and more locations that need to deliver a consistent guest experience.

AI automation can help growing restaurant brands address these challenges. The goal is not to automate hospitality out of the guest experience. Instead, AI can take on repetitive work, support employees, and help restaurant groups apply consistent processes across locations.

The most effective approach starts with the fundamentals: identify the right tasks, standardize the underlying processes, integrate automation with existing systems, and continuously measure the results.
‍

Key Takeaways

AI should automate repetitive tasks, not replace hospitality.
Standardized processes make automation more effective as restaurant brands expand.
Automation can improve consistency across locations.
Integration with existing restaurant systems is critical for reducing manual work.
Measuring performance helps restaurant brands identify what is working and where automation needs improvement.
A phased rollout allows restaurant groups to refine workflows before expanding automation across every location.
‍

Identify High-Volume, Repetitive Tasks First

Not every restaurant process is a good candidate for AI automation.

The strongest opportunities are usually tasks that are repetitive, occur frequently, follow predictable workflows, and consume staff time.

For growing restaurant brands, this can include answering common phone questions, managing reservation requests, responding to frequently asked questions, and routing guest inquiries to the appropriate team.

Consider the questions a restaurant team answers repeatedly every day:

What are your hours?
Do you take reservations?
Can I change my reservation?
Where are you located?
Do you offer catering?
Do you accommodate large groups?
What are your ordering options?

If employees are spending significant time answering the same questions, those interactions may be candidates for automation.

The objective is not to automate every guest interaction. It is to identify repetitive work where automation can provide a useful and consistent response while allowing employees to focus on situations that require judgment, flexibility, or a personal touch.
‍

Standardize Processes Before Automating

AI automation works best when it is built around clear processes.

If different locations follow different reservation policies, escalation procedures, or brand messaging, automating those processes can simply make the inconsistency happen faster.

Before implementing AI, restaurant brands should document the workflows they want the technology to follow.

This can include:

Call flows
Reservation policies
Cancellation and modification rules
Escalation procedures
Large-party policies
Catering inquiry workflows
Frequently asked questions
Brand messaging
Location-specific information

For example, if a restaurant group has a specific process for handling large-party inquiries, that process should be defined before an automated system is expected to handle those calls.

Standardization also makes it easier to manage automation across multiple locations. Instead of designing an entirely different approach for every restaurant, a brand can establish a consistent framework and then account for location-specific differences where necessary.
‍

Integrate AI With Existing Restaurant Systems

AI automation is more useful when it can work with the systems a restaurant already relies on.

Depending on the use case, that may include reservation platforms, point-of-sale systems, customer relationship management software, ordering systems, and other operational tools.

Integration can reduce the need for employees to manually transfer information between systems. It can also help ensure that automated interactions are based on current operational information.

For example, an AI phone system that can access an integrated reservation platform may be able to assist with reservation-related requests more effectively than a system that simply provides general information.

The exact capabilities depend on the software and integrations available. Restaurant brands should evaluate what systems can actually connect, what information can be accessed, and what actions the AI is authorized to perform.

Integration should be treated as part of the implementation strategy, not as an afterthought.
‍

Start With High-Impact Guest Interactions

Growing restaurant brands should prioritize automation opportunities where repetitive work and guest demand overlap.

Several areas can be particularly useful starting points.

Phone Answering

Restaurants receive phone calls for a wide range of reasons. Many are routine questions, while others involve reservations, ordering, catering, or more complex requests.

For our 2025 State of the Restaurant Phone report, we analyzed millions of calls across our restaurant customer base and found that approximately 71% involved revenue opportunities, including reservations, orders, private dining, and catering inquiries.

AI phone answering can provide an additional layer of coverage for appropriate calls, particularly when employees are busy serving guests.

Reservation Management

Reservations are a core guest interaction for many restaurants. Automating appropriate reservation requests and related questions can reduce manual work while making it easier for guests to get assistance.

Where an AI system is integrated with a compatible reservation platform, it may also be able to perform reservation-related actions.

Catering and Large-Party Inquiries

Catering, private events, and large-party requests can involve more detailed conversations than standard reservations.

AI can help collect initial information, answer basic questions, and route appropriate inquiries to the right person. More complex requests can then be escalated to staff.

Guest FAQs

Frequently asked questions are another natural starting point for automation.

When accurate information is available, AI can help provide answers about hours, locations, menus, ordering options, policies, and other common topics.

Starting with these high-volume interactions allows restaurant brands to address clear operational needs before attempting more complicated forms of automation.

Use AI to Support Staff, Not Replace Them

One of the most important principles of restaurant automation is understanding where AI fits into the guest experience.

Hospitality depends on people. The National Restaurant Association’s 2024 Restaurant Technology Landscape Report recommends matching technology to the guests a restaurant serves while maintaining personal hospitality. Guests may need recommendations, assistance with unusual situations, help resolving problems, or simply a personal interaction. Automation does not need to replace those experiences to be useful.

Instead, AI can take repetitive work off employees' plates.

A restaurant employee who does not have to answer the same basic questions repeatedly may have more time to focus on guests in the restaurant. A manager who receives fewer routine inquiries may have more capacity to handle operational issues. A host who is managing a busy front door may benefit from having an automated system handle appropriate incoming calls.

This distinction is important.

The goal of automation should be to reduce unnecessary work while preserving clear paths to human assistance when it is needed.

Restaurant brands should also define escalation rules so that automated systems know when an interaction should be handed off to a person.

Measure Performance Continuously

Implementing AI is not the end of the process. Restaurant brands should monitor performance and use the resulting data to improve their workflows.

The right metrics will depend on the automation being used, but several measures can help.

Reservation Capture

If automation is being used to support reservations, track how many reservation-related interactions are successfully handled.

Missed Calls

For phone automation, monitor missed and abandoned calls to understand whether more guests are being reached.

Automation Rate

Track how many eligible interactions are handled through automation versus how many require staff involvement.

A higher automation rate is not automatically better. The objective is to automate appropriate interactions while maintaining a useful guest experience.

Guest Satisfaction

Restaurant brands should consider how automation affects the guest experience, not just internal efficiency.

In a 2025 industry update, the National Restaurant Association reported that 4 in 10 operators said their technology investments had directly improved overall customer satisfaction. That finding covers restaurant technology broadly, rather than AI automation specifically.

Guest feedback, satisfaction measures, complaints, and escalation patterns can help identify whether an automated workflow needs to change.

Call Resolution

For AI phone answering, resolution can help show whether callers are getting the information or assistance they need without unnecessary transfers or repeated calls.

These metrics give restaurant groups a way to evaluate automation based on actual performance rather than assumptions.
‍

Scale Gradually Across Locations

Restaurant groups do not necessarily need to deploy a new AI system across every location at once.

A phased rollout can make it easier to identify problems, gather feedback, and refine workflows before expanding.

A pilot might begin with a limited number of locations that represent different operating environments. The brand can then evaluate how the automation performs, identify location-specific requirements, and adjust the implementation.

A gradual approach can also help managers and employees understand how the technology fits into their daily responsibilities.

Once the workflows are working reliably, the restaurant group can expand the program to additional locations.

This approach is particularly useful for larger brands because a process that works well in one location may need adjustments elsewhere.
‍

Common AI Implementation Mistakes

Restaurant brands can avoid many automation problems by addressing the fundamentals before deployment.

Automating Poor Processes

Automation does not fix an unclear or inefficient process by itself.

If a reservation workflow is confusing or escalation rules are inconsistent, the first step should be to improve the process. Automation should then reinforce the improved workflow.

Failing to Train Managers

Restaurant managers need to understand what the AI system does, what it does not do, and how staff should respond when an interaction is escalated.

Without clear expectations, employees may be unsure when to rely on automation and when to intervene.

Ignoring Analytics

Automation generates useful operational information. Ignoring that information makes it harder to identify problems or improve performance.

Restaurant groups should establish reporting processes before rollout and review the results regularly.

Choosing Disconnected Software Solutions

Adding another system that does not integrate with the restaurant's existing technology can create more manual work rather than less.

Before selecting an automation solution, restaurant brands should understand how it will fit into their current technology stack.

Trying to Automate Everything at Once

A large rollout can make it difficult to identify what caused a problem.

Starting with specific use cases allows restaurant groups to learn what works before expanding automation into more complex workflows.

Frequently Asked Questions

What restaurant processes should be automated first?

Start with repetitive, high-volume processes that consume staff time and follow relatively predictable workflows.

For many restaurant brands, this can include phone answering, common guest questions, reservation requests, and routing inquiries. The best starting point depends on each brand's call volume, staffing model, systems, and operational priorities.

How long does AI implementation take?

Implementation time varies depending on the use case, the number of locations, the systems involved, the required integrations, and how standardized the restaurant's processes already are.

A relatively focused use case may be simpler to implement than an automation program that spans multiple systems and locations.

Restaurant brands should account for process documentation, system configuration, testing, staff training, and rollout when planning an implementation.

For example, Riot Hospitality launched Slang AI across 12 locations in just seven days. Your rollout timeline will depend on your integrations, workflows, and team readiness.

Will automation reduce guest satisfaction?

Automation does not inherently improve or reduce guest satisfaction.

The outcome depends on how it is designed and used. An automated system can make it easier for guests to get answers to routine questions, but poorly designed automation can create frustration.

Restaurant brands should make it easy for guests to reach a person when an interaction requires human assistance and should monitor guest feedback after implementation.

How do growing brands measure AI success?

Restaurant brands can evaluate AI using a combination of operational and guest-experience metrics.

Depending on the use case, these may include reservation capture, missed and abandoned calls, automation rate, call resolution, guest satisfaction, and other relevant operational measures.

The most useful metrics are those tied to the specific problem the automation was intended to solve.
‍

Conclusion

AI delivers the greatest value to growing restaurant brands when it supports standardized operations and removes repetitive work.

The strongest implementations start with clearly defined processes, focus on high-volume tasks, integrate with existing restaurant systems, and preserve a path to human support when needed.

For restaurant groups, the benefits of a thoughtful approach can extend beyond a single location. Standardized workflows and centralized visibility can make it easier to provide consistent guest experiences as the brand expands.

Rather than trying to automate everything, growing restaurant brands should start with specific operational challenges, measure the results, refine the workflows, and scale what works.

Used strategically, AI automation can help restaurant teams spend less time on repetitive tasks and more time delivering the hospitality that guests expect.
